Job Overview and Requirements

Okay, let’s talk about the role.

We are now seeking an experienced Executive Assistant that is friendly, driven, detail-oriented, and can work within a fast-paced environment. You will work directly with Tele-Data’s President, ensuring that all administrative, calendaring, personal, and other ad hoc tasks are managed and executed with timeliness and accuracy. You will also have the opportunity to contribute to project management, financial reporting, and ensuring meetings are organized and documented appropriately. The ideal candidate is extremely organized, highly skilled at juggling competing priorities while managing expectations, and can pivot effectively in a fast-paced environment.

This is a blended remote/in-office role. The ideal candidate should be flexible traveling between the Mendham and Union, NJ areas.

Key Responsibilities

  • Manage the President’s calendar, monitor and respond to emails, schedule meetings and special events, and effectively organize the President’s daily schedule
  • Optimally screen incoming calls, take dictation, and route emails to proper team members
  • Create and manage a daily “To-Do List,” including meeting reminders, upcoming deadlines, and ordering lunch for team members or meetings
  • Attend meetings with senior leadership, take detailed notes, and follow up on all meeting action items
  • Assist in the preparation of presentations, meeting documentation, and other items for internal and external meetings
  • Assist President in the reviewal of legal contracts and other important documentation, make edits as requested, and overall serve as the President’s first “eyes” on new documentation
  • Provide assistance with financial and sales reporting, which may involve collaboration with a controller or outside consultant
  • Execute on personal tasks for the President as needed, e.g. scheduling home contractors, getting quotes for home services (occasional travel between Mendham and Union, NJ areas)
  • Other professional and personal tasks assigned on an ad hoc basis

Qualifications

  • 5+ years of experience as an Executive Assistant
  • Proven track record of supporting small business executives or highly productive entrepreneurs in fast-paced environments (telecom experience not required)
  • Experience with project management and creating reports (sales, KPIs) preferred

Okay, let’s talk about the role

We are seeking a Project Coordinator with experience in the VoIP / UCaaS space. You’ll work directly with our new clients as we onboard them onto the TeleCloud platform. You’ll be involved from the very beginning, from site survey to diving into the client’s pain points, project managing the entire onboarding and ensuring all necessary installations, service activations, and training of new users happens as efficiently as possible. You’ll also ensure stakeholders are kept on the same page while making sure we stay fiercely committed to client satisfaction at every stage. Working in conjunction with our Account Managers, you’ll also become our clients’ point of contact whenever they undergo future large projects, such as office relocation.

The right candidate is comfortable talking about VoIP/UCaaS technology, has a high level of empathy and desire to serve the client, and is able to effectively organize their time around competing priorities in a fast-paced environment. In this role, you’ll bring value to the team by taking our clients through seamless project plans and serving as the behind-the-scenes wizard that makes their lives easier.

Key Responsibilities

  • Responsible for project managing all client projects, including new client onboardings, installations, office relocations, existing client upgrades, and add-ons
  • Communicate with stakeholders proactively, manage schedules, track costs and equipment, and manage all moving pieces with a high degree of customer satisfaction
  • Coordinate site surveys and other fact-finding conversations with client, intimately understanding their VoIP-related business needs and pain points
  • Work with 3rd party carrier partners on service activations for line number portability (LNP)
  • Walk client through project lifecycle for all major milestones
  • Schedule on-site installations and keep all stakeholders informed of progress
  • Train end users on services, features, and portal usage, ensuring they get the best use out of their new tools
  • Use project management tools (e.g. Asana) to keep team members updated
  • Respond to urgent issues/client requests. This may include after-hours communication.

Qualifications

  • 3-5+ years of project/client experience within telecommunications, VoIP, UCaaS
  • Basic understanding of phone carrier provisioning including porting and routing
  • Experience provisioning clients through an online portal
  • Experience training end users on new features/services
  • High level of organization with the ability to effectively prioritize competing projects

Job Overview and Requirements

We are now seeking a Client Success Manager with solid UCaaS experience and a passion for seeing their clients succeed. You’ll first be introduced to existing customers to further nurture relationships and find new selling opportunities as their needs change. As our sales team brings in customers, you’ll own the customer journey all the way to post-installation support, ensuring the lifecycle is managed effectively and key milestones are hit. When issues arise, you’ll be our customer’s point person, conducting the technical conversations needed to understand their pain points before escalating to the appropriate team. In this role, you will be integral to the long-term satisfaction and continued growth of a large book of business.

Key Responsibilities Include:

  • Own the customer journey from post-sale introduction through go-live and follow-up
  • Proactively contact existing customers (SMB and mid-market) to develop relationships, identify opportunities, and upsell existing base
  • Generate add-on proposals and present to clients for approval
  • Assist with customer technical support triage, ensuring a quality experience
  • Use technical knowledge to resolve minor technical issues for UCaaS programming, escalating to the service team as needed
  • Provide end user clients with demos for UCaaS system features
  • Assist with selling new wireless back-up internet service to existing customer base
  • Solve customer pain points by consulting on better use of UCaaS system and software
  • Ensure long-term customer satisfaction through regular check-ins
  • Occasionally participate in webinars and other video-based educational tools

Qualifications

  • 5+ years of account management/customer success/inside sales experience within telecommunications, VoIP, UCaaS
  • High familiarity with any CRM tool (we use Hubspot)
  • Solid foundational understanding of the evolution of UCaaS and how it fits within a customer’s business needs
  • Prior experience cross-selling and upselling into existing customers
  • Comfortable explaining technical concepts and navigating software to explain features or troubleshoot customer issues
  • Ability to commute within NJ territory a bonus (not required)
  • High level of organization with the ability to effectively prioritize a large book of business based on tiered system

If you’re looking to join a tight-knit, fast-paced environment, then our Staff Accountant opportunity could be the perfect role for you. Tele-Data Solutions, an INC 5,000 privately-held UCaaS provider, is rapidly scaling and is looking for an experienced Staff Accountant who can support financial operations at our company. The Staff Accountant will provide oversight over functions including, but not limited to, payables, receivables, monthly closeouts, and additional light office duties.

While experience for this role is important, it is even more critical that you share our core values, which are:

Key Responsibilities Include

  • Complete accurate and timely processing of accounts receivable, accounts payable, cash receipts, core payroll processing and corporate tax payments
  • Provide daily customer support for billing related functions
  • Complete reconciliations of multiple bank, credit card, and loan accounts monthly
  • Maintain basic cash flow management and reporting
  • Process monthly and yearly closeout of general ledger and prepare all financial reporting to leadership
  • Ensure accuracy and timely dissemination of financial information 
  • Participate in project billing process including data entry and project meetings
  • Provide vendor management and process yearly 1099s
  • Work with internal and external individuals to ensure the accurate and timely completion of all corporate income tax returns 
  • Maintain various company contracts and complete renewals of key insurance policies
  • Perform light office duties including supply management and cleaning service management
  • Perform other related activities as assigned

Qualifications

  • 5-10+ years of related bookkeeping/accounting experience required
  • Minimum of Associates Degree required
  • High degree of proficiency in QuickBooks accounting software, QuickBooks Online strongly preferred; proficiency/excellence in Excel; competency with MS Office tools
  • Ability to work from home during company business hours ( M-F 8:30-5:30), in a dedicated quiet workspace with reliable internet access
  • Ability to travel to office 2-3 times per week, as well as other office days as requested by management
  • Proven understanding of GAAP accounting principles and bookkeeping tasks as they relate to  overall financial reporting
